This checklist ensures safe, documented, and efficient pick-ups and drop-offs. Follow every step to maintain accuracy, professionalism, and proper records.
Pre-Pickup Preparation
- Confirm pick-up address and contact info.
- Verify cargo details (type, quantity, fragile, temperature-sensitive).
- Inspect vehicle for readiness (clean, fueled, no maintenance issues).
- Ensure all equipment is on hand (straps, dollies, gloves, PPE if required).
- Prepare documentation tools (clipboard, tablet, camera/phone).
Arrival at Pick-Up Location
- Record arrival time.
- Take photos of pick-up location exterior.
- Take photos of interior/storage area where items are located.
- Note any unusual conditions (wet floors, obstacles, hazards).
- Contact pick-up staff if needed.
Loading Process
- Confirm items against pick-up order (count, description, condition).
- Take photos of items before touching.
- Safely load items into vehicle using proper securement.
- Take photos of truck interior after loading.
- Record start and finish loading times.
- Note any damages or discrepancies.
Transit
- Record departure time from pick-up location.
- Track estimated time of arrival.
- Optional: Note any traffic issues, delays, or incidents.
Arrival at Drop-Off Location
- Record arrival time.
- Take photos of drop-off location exterior.
- Take photos of unloading area before unloading.
- Confirm access points, parking, or obstacles.
Unloading Process
- Safely unload items from vehicle.
- Take photos of items in the drop-off area before moving if needed.
- Take photos of items after unloading.
- Record start and finish unloading times.
- Have receiver sign documentation if applicable.
- Note any damages, discrepancies, or special instructions.
Post-Delivery
- Take photos of empty vehicle after unloading.
- Update internal logs (time, mileage, observations).
- Notify office/management of completion.
- Check vehicle for items left behind or issues before leaving.
